Registration and Confirmation
- Registrations will not be considered confirmed until payment has been received and processed. Non-payment or non-attendance will be treated as a cancellation.
Refund Policy
- If you are unable to attend and cannot arrange for someone to participate in your place, you may receive a refund minus an administrative fee, provided that written notification is received by Wednesday, July 30, 2025.
- Due to agreements with vendors and other financial arrangements, and as expenses are calculated based on the number of participants, cancellations made after July 30, 2025 will not be eligible for a refund.
- Non-attendance will be treated as a same-day cancellation, and no refund will be issued.
Cancellation by the Organizers
- If the Congress is cancelled due to circumstances beyond the organizers' control or for reasons related to delegate health and safety, the registration fee will be refunded after deducting expenses already incurred.
Accommodation
- The local committee will provide information on recommended hotels on the Congress website by June 2025. These recommendations are for guidance only. All accommodation arrangements, including bookings, changes, and cancellations, are the sole responsibility of the participants.
Disclaimer

- Opinions expressed by authors in their abstracts and during their presentations are personal and do not necessarily reflect the opinions of the LOC.
Insurance
- Registration fees do not include insurance. Participants are strongly advised to secure personal insurance that covers travel, accommodation, and personal belongings. Neither Scientiae nor the Local committee will be held responsible for booking cancellations, regardless of the reason, including the cancellation or postponement of the Congress, nor for any theft or damage to personal items.
Photography
- By registering for the Congress, you acknowledge and consent to being photographed during the event. These photographs may be used for promotional purposes related to the Congress.
